Plan a clean handover.

A project is not complete when the racks are powered on. It is complete when operations can support the environment without relying on the deployment team’s memory.

An accurate installed record

Final rack elevations, serial numbers, cable schedules, network assignments, power paths and configuration baselines must reflect what was installed—not the original drawing.

Evidence that acceptance criteria passed

Keep burn-in results, failover tests, performance checks, firmware levels and exceptions together with named approvers.

Clear ownership

Document who owns hardware incidents, warranties, spares, monitoring, patching, capacity and vendor escalation.

Operating procedures

Include safe start and stop steps, common recovery actions, escalation contacts and maintenance windows.

A short stabilization period

Keep the delivery team available after handover to resolve early-life issues and transfer context to the support team.

If the operating team cannot locate the baseline, understand the alarms and identify the escalation path, the handover is incomplete.

Agree the evidence before installation

Acceptance should not become a negotiation on the final day. At the start of the project, define the tests, documentation and training that the operating team needs. Name the people who will review each item and distinguish a passed test from an accepted exception.

Handover itemWhat good evidence looks like
Asset recordInstalled location, serial number and support entitlement
ConnectionsVerified port, cable and power-feed labels
Acceptance testsExpected result, observed result and reviewer
ConfigurationApproved baseline with secure recovery procedures
Open issuesNamed owner, impact, target date and agreed treatment

Make the handover usable

Keep the installed records in a location the operating team can access. Store secrets separately through the organization’s approved process. A useful handover explains where the sensitive configuration lives without copying credentials into a general project document.

Walk through a realistic support scenario with the receiving team. Can they locate the affected asset, identify its dependencies and reach the correct support provider? Record missing information during that exercise and close it before the delivery team steps away.

Any remaining exceptions should have an explicit owner. A signed handover should acknowledge those exceptions—not make them disappear.

Use this brief as a starting point for planning. Confirm equipment and facility requirements with the relevant suppliers and qualified specialists.
